1. Data controller

José Laborda Ubiria, as the controller for Kaikōdo. Contact: hello@kaikodo.app.

2. What data we collect

Account data: email, name, username, profile photo.

Trip data: nationality, country and currency of residence, itineraries, documents you upload (tickets, bookings), expenses, trip chat messages, spots (places) you save or recommend.

Photos and files you upload: trip album, chat photos, expense receipts, and profile and cover photos.

Location: only if you tap “Use my current location” while creating a spot, we take your phone's precise location at that moment to place the spot on the map; if you save it, its coordinates are stored. We do not track your location or use it in the background.

Messages you send us from “Help & feedback”.

Technical data: preferred language, the minimum needed for the service to work (session identifiers), your device identifier to send you push notifications, and a log of which app screens you open.

Voice dictation in the translator is handled by your own phone's speech recognition (Apple or Google): Kaikōdo does not receive or store the audio, only the resulting text in order to translate it.

3. Why we use it and the legal basis

To provide the service (build your itinerary, calculate shared expenses, show your documents to whoever you choose) — legal basis: performance of the contract to use the app (GDPR art. 6.1.b).

In-app notifications (invites, settled expenses) — legal basis: legitimate interest in the product working correctly.

Knowing which screens are used in order to improve the app — legal basis: legitimate interest. It is not used for advertising or combined with data from other companies.

4. Who we share your data with

With other members of a trip you belong to: they see your name, photo, and the content you share with that trip (documents, expenses, messages, spots).

With technical providers we use to run the service: app and file storage, push notifications (OneSignal), email delivery, maps, address lookup (Google and OpenStreetMap, which receive the coordinates when you use your location), and an automatic translation service if you use the translator (it receives the text you translate). We do not sell your data to third parties or use it for advertising.

Maps and places: we use Google Maps Platform (Google). When you view a map, search for a place, or open its card, your device connects to Google, which receives technical data such as your IP address, what you search for, and the map area you view, and processes it under the Google Privacy Policy (https://policies.google.com/privacy). From Google places we only store their identifier and, for up to 30 days, their coordinates; the name, rating, photos, and opening hours are shown directly from Google.

5. How long we keep your data

For as long as your account is active. If you delete your account, your profile and personal data are removed; content you shared with a group (for example, an expense you paid) is kept in anonymized form, without your email or name, so it does not break the rest of the group's calculations.

6. Your rights

You have the right to access, rectify, and request deletion of your data, as well as portability, objection, and restriction of processing, under GDPR.

You can edit your data directly in Settings, or delete your account entirely from Settings → Delete account. For any other data-related request: hello@kaikodo.app.

7. Security

We apply reasonable technical measures to protect your data, but no system is 100% foolproof. We recommend not uploading especially sensitive documentation beyond what is needed to plan your trip.

8. Minors

Kaikōdo is not intended for anyone under 16. If you believe a minor has created an account without parental or guardian consent, contact us to have it removed.

9. Changes to this policy

If we make significant changes to how we handle your data, we will notify you within the app.
